Q4 2017 – Launching a new RMS

 

The Teva Medical Education team is pleased to announce the upcoming launch of our new Request Management System (RMS).  We are confident this new system provides an easier, more intuitive experience for entering requests.

 

The new RMS will open on November 30, 2017 at 8am Eastern for grant requestor registration only.  All grant requestors must register in the new RMS in order to be able to submit grant requests.  The new RMS will open for grant submissions on January 8, 2018 at 8am Eastern.

 

You will find that most of the information needed to review a request is the same, however the look and feel of the system will be different.  Additionally, all the parameters and guidelines for funding and for review times are unchanged and the new RMS will continue to send email reminders for critical dates.  Please carefully note that the section on planned outcomes and outcomes reporting has been slightly revised to focus more on clinical competencies using the Miller’s outcomes framework. Also, we have incorporated new timeline requirements for submitting actual participation data for live and web activities into the new RMS.

 

The current RMS will shut down on November 30, 2017 at 5pm Eastern to new requests – as planned – however, the current RMS will not re-open.  Grants that were submitted prior to 5:00pm Eastern on November 30, 2017 will continue to be reviewed and processed and you will have the ability to continue the reconciliation process for previously-submitted requests.  This closure does not apply to submitting Charitable Donation requests.

 

User guides for the new RMS will be posted on the resource portal once the new RMS is open, and any questions can be submitted to tevarequestmanagement@tevapharm.com.

 

The RMS will close to new requests in July and December 2018 as follows:

June 29, 2018 – at 5pm eastern the RMS will shut down to new requests but will remain available for processing grants already entered before June 29, 2018 at 5pm Eastern for RFIs, recons, outcomes, etc.  It will reopen on August 1, 2018 at 8am Eastern.

 

November 30, 2018 – at 5pm Eastern the RMS will shut down to new requests but will remain available for processing grants already entered before November 30, 2018 at 5pm Eastern for RFIs, recons, outcomes, etc.  It will reopen on January 2, 2019 at 8am Eastern.

 

 

In brief, here are the critical dates:

Nov 30, 2017 - at 5pm Eastern, the old RMS will be shut down to new requests

Nov 30, 2017 – at 5pm Eastern, the new RMS will be open for registration only

Jan 8, 2018 - at 8am Eastern, the RMS will be open to enter requests (it will remain open for registrations)

 

Jun 29, 2018 – at 5pm Eastern, the RMS will shut down to new requests

Aug 1, 2018 – at 8am Eastern, the RMS will be open to enter requests

 

Nov 30, 2018 – at 5pm Eastern the RMS will shut down to new requests

Jan 2, 2019 – at 8am Eastern, the RMS will be open to enter requests

 

With the launch of the new system we have taken the opportunity to update the way we want to collect outcomes.

 

1)  The section on planned outcomes and reporting will be revised to focus more on clinical competencies described within Miller’s outcomes framework. For example, grant recipients may be required to submit examples of outcomes that demonstrate knowledge acquisition, procedural knowledge, demonstration of learning, and observed performance. More specifics on this are coming soon.

2)  We also want interim outcomes on actual number of participants entered into the RMS as follows.

Interim outcomes due:

• For live programs – actual number of participants must be reported 30 days post launch for each live activity; final outcomes are due 60 days post initiative expiration (Participation data for a single live activity may be reported up to 60 days post activity).

• For web programs – actual number of participants must be reported at 30 days post launch and at 60 days post launch; final outcomes are due 60 days post initiative expiration

For all initiatives, final outcomes are due 60 days after the last activity ends – this is unchanged from the current process.

 

The RMS will send email reminder requests for interim and final outcomes.
